Job Title: Machine Logistics Coordinator

Department: Administration

FLSA Status: Non-Exempt


Summary


Under the direction of the Chief Financial Officer (CFO), the Machine Logistics Coordinator’s responsibilities include the management of efficient and cost-effective supply chain operations, while promptly resolving distribution issues. The Machine Logistic Coordinator will work directly with all internal and external clients to ensure deliverables fall within the applicable scope and budget. Additionally, they must work as a cohesive team with the Machine Logistics Manager, Project Management, and Shipping and Receiving teams.


Lastly, this position will be responsible for machine logistics between BLM Italy, and final customer and/or warehouse. This includes managing quotation process, tracking machine shipping status and finding ways to reduce costs.


Essential Functions


The duties listed below are the specific duties and tasks that someone in this position must accomplish. The omission of specific statements of duties does not exclude them from the position if the work is similar, related, or a logical assignment to the level and/or class of this position.


  • Updates and maintains correspondence for documentation involved in the quotation and awarding of shipments for freight forwarding and domestic shipping.
  • Communicates and updates machine delivery status to internal departments.
  • Manage machine shipment logistics.
  • Schedule shipment and delivery of components and auxiliary manufacturing tools sourced outside the BLM Italy order (IPG, SIDEROS, LIBERTY SYSTEM).
  • Manage, maintain and review quotation process for international and domestic shipping.
  • Monitor deposit invoice payments and follow up with projects on due dates.
  • Attend and contribute to weekly meetings and supply information as required.
  • Contribute to and update the Freight Forwarder Dashboard Report, and any other reports as needed, on all shipments completed.
  • Reconcile any Freight Forwarder Invoicing concerns with AR/AP teams.
  • Work with Project Management, and any other internal teams needed, to assist customers on logistic questions and proper crates handling and offloading.
  • Other duties as assigned by management.


Qualifications


  • High School Diploma or equivalent required.
  • Bachelor’s degree in a technical field, business administration, or related field preferred.
  • Previous logistics coordinator or management experience required.


Knowledge, Skills, and other Abilities


  • Knowledge of machine tooling equipment (electrical, mechanical, application) preferred.
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook, etc.).
  • Ability to work independently and in a fast-paced environment.
  • Ability to anticipate work needs and interact professionally with customers.
  • Excellent organizational skills and attention to detail.
  • Ability to work well with all levels of team members.
  • Must be able to work effectively with minimal supervision.
  • Must have excellent time management skills.
  • Fluent in Italian preferred, but not necessary.


Licensing/Certifications


Valid Driver’s License with no more than two (2) points on a driving record within a three (3) year period

General office equipment, including, computers, printers, fax machines and telephones

The incumbent works primarily in an office environment, sitting for prolonged periods at a desk with a computer. May occasional work in a manufacturing facility where the noise level may be moderate to loud.


This position is not a hybrid or remote position.
