- The Crew Logistics Coordinator will be a crucial part of the Crew Logistics team, supporting the logistics operation for travelling crew onsite. The Crew Logistics Coordinator will be responsible for supporting the onsite operation and delivery across a wide variety of areas, including but not limited to; travel and flights, accommodation, Visas, ground transportation and our bespoke crew management system; Crew Hub.
- This role requires someone who has strong event and travel operations experience, with strong communication and data skills. This role will report to the Sr. Manager, Crew Logistics
Responsibilities:- Assist in the on the ground delivery of Crew Logistics operations, analyzing areas of improvement and implementing important change to the affected crew.
- Coordination of on ground operations and reporting in relation to Crew Transportation, including but not limited to Accommodation Shuttles, Site Shuttles, Perimeter Shuttles. This will involve working with multiple transport providers and ensuring a smooth operation at all transport points (including offsite locations)
- Assist with on ground coordination of key transportation movements, such as crew ingress and egress.
- Assist in developing and maintaining Crew Logistics content across several information sources for crew – primarily the Crew Handbook and Crew Hub information pages. Ensure that information is maintained for accuracy at all times for example, processes and schedules, and assist with translation where necessary.
- Assist in developing key pieces of Crew Logistics communications including but not limited to; travel itineraries, pre departure information, and accommodation guides, including translations where needed.
- Provide friendly and efficient assistance to festival crew regarding their questions and concerns, and supporting the Crew Services Kiosk where required. Ensure clear and professional communication with crew members and suppliers, acting responsively to questions and issues, and escalating where required.
- Assist with the creation of the After-Actions post event report, including qualitative feedback and data/metrics developed throughout the execution of the event.
- Collaborate and communicate with all stakeholders on a regular basis on all responsibilities listed above, and ensuring that all changes, requests and issues are clearly communicated to all stakeholders. This will include internal festival Crew Logistics teams and Travel Agency.
- Participate in regular department meetings (Video Conference, Call, in-person, as appropriate) to receive updates, communication, and workshop ideas.
- Support the wider Crew Logistics team with any onsite operational or administration tasks as requested.

- Accommodation Shuttles; including offsite operations
- Crew Hub; in conjunction with Event Technology Team
- Crew Logistics digital communication and assets
- This role does have fluidity to it and may vary based on project needs.
Qualifications:- Minimum of 2+ years of live event, entertainment, theatre, touring concert and/or production experience.
- Have excellent interpersonal & communication skills, both verbal & written. Arabic and English required. Urdu, Bengali or Hindi would be advantageous but not essential.
- Work with a range of internal and external stakeholders, including but not limited to Crew Logistics Team, Accreditation Team, Catering Team, key partners and onsite suppliers.
- Able to work well in a fast paced environment, while maintaining high attention to detail and accuracy.
- Computer skills: Macintosh OS or Window platform using Microsoft Office suite of programs, particularly Word, Powerpoint, Excel and Outlook
- Play a key role in communications with all stakeholders and all departments.
