Office Assistant

Permanent, part time (2 to 3 days a week – must include Thursday and Friday)

Our Client, Voyage Financial Planning, is a modern and proactive Independent Financial Planning business, that helps their client achieve financial goals, objectives, and aspirations. They are offering a professional and highly personalised advice on pensions, mortgages, investments and savings as well as business and personal protection, general insurance, inheritance tax planning and more.
Due to increasing workload, they are now seeking a driven and enthusiastic Office Assistant to join their team in Romsey, Hampshire. You will be a professional and friendly point of contact for clients and their enquiries as well as providing general office support.
Office Assistant, the role:
- Booking in client meetings with email follow up confirming the appointment date
- Preparing and printing client’s packs in advance for client sign up meetings
- Providing client’s updates on existing cases
- Managing client service needs and expectations (refer to Adviser if needed)
- Answering and dealing with incoming calls, emails and queries
- Opening, scanning, logging and allocating incoming and outgoing post
- Chasing up external providers for case updates
- Sending birthday, Christmas and moving cards
- Looking after office and client’s facing stationery
- Ensuring all notes, tasks and email addresses on CRM system are up to date
Office Assistant, the person:
- A good standard of general education with a background in general administration
- Minimum 1 year of previous office administration experience is a must
- Excellent communication and interpersonal skills
- Willingness to help others, with a positive “can do” attitude
- Ability to manage own workload, prioritising and taking responsibility for completing tasks
- Excellent organisation and time-management skills
- Great team member – friendly but professional
- Basic knowledge of Microsoft Package (including Teams)
