SCOPE
Reporting to the Chair, the incumbent efficiently and effectively manages the day-to-day operation of the Department, including coordination of work for committees and projects, coordination of academic scheduling and facilities, monitoring of collective agreement critical paths, and supervision of non-academic support staff personnel.

PRIMARY RESPONSIBILITIES

• Manage and coordinate the daily administrative operations of the department; work with and inform the Chair of relevant issues and actions undertaken.
  • Assign work to, supervises, and evaluates permanent support staff. Create a collaborative, respectful, and growth-oriented team culture.
  • Monitor critical path as it relates to CUFA, CUPFA and staff Collective Agreements to ensure deadlines are met. Manage all processes related to matters in the collective agreements.
  • Oversee department budgets. Analyze and approve departmental expenses, reconcile monthly and annual operation budget. Manage external contracts for off-campus academic events.
  • Maintain confidential full-time faculty personnel files. Assist the chair with the organization of FT faculty yearly workload and follows up with the Dean’s office as necessary.
  • Prepare the yearly academic schedule in consultation with the Chair, full-time faculty and the UG Coordinator. Maintain contact with Student Academic Services regarding section allotments and added or cancelled sections.
  • Manage department space and physical facilities. Maintain contact with IITS and Facilities Management regarding problems and issues. Coordinate equipment purchasing.
  • Investigate issues on behalf of the Chair; prepare reports and correspondence for the chair. Meet with the chair on a regular basis to continually review and update department issues and priorities.
  • Continually review departmental policies and procedures regarding administrative matters and the daily operation of the department, with a view to drafting and implementing procedures that improve departmental operations.
  • Organize and supervise major projects (website, social media, teaching assistant contract allocations, space renovations and special events.)
  • Coordinate the various publications for the department. Ensure calendar entries are correct.

QUALIFICATIONS
  • Bachelor’s degree and four to seven years of related experience of which two years in a supervisory role.
  • Demonstrated communication and interpersonal skills, with ability to work independently as well as on a team.
  • Experience in a university environment, preferably in an academic department.
  • Knowledge of Collective Agreements, as well as University policies and procedures considered an asset.
  • Good knowledge of written and spoken English and of spoken French (Level 4) to communicate effectively with the University community. Good writing skills in French considered an asset.
  • Strong interpersonal and collaboration skills and networking experience.
  • Excellent organizational skills, especially time-management and prioritization.
  • Basic knowledge of Word and Excel (to create and edit documents and spreadsheets); knowledge of email and database software. Knowledge of FIS, FRIS and the Student Information System considered an asset. Facility to adapt to changing university systems and technologies.
  • Exceptional organizational skills, with the ability to set and meet deadlines and to ensure others meet critical deadlines.
