About the Role
Providing administrative support to the procurement department for a given procurement section. Working under guidance from manager to help the procurement department meet end user requests in a timely and effective manner.
Operational:
- Perform administrative and supportive tasks (organize and store procurement documents, send documents to other departments, request for stationaries & pantry items, follow-up on issues with other departments/suppliers, preparation of memos. Etc.) within the procurement department, ensuring confidentiality and company policies are adhered to.
- Creation of purchase orders and blanket purchase agreements in a systematic manner ensuring compliance with policy, process, departmental responsibility matrix and DOA.
- Communicate purchase orders to suppliers and follow up with vendors ensuring the order is being processed in compliance with agreed KPIs.
- Develop relationships with key contacts and suppliers, working with them closely to solve any issues arising with orders ensuring on time delivery.
- Liaise with logistics department ensuring shipment of orders is undertaken in a timely manner.
- Prepare charts and compile regular reports for line manager and VP engineering to support vendor performance monitoring and evaluation and stakeholder feedback.
- Respond to queries and request for information and assistance, interpret and explain procurement procedures and policies to inquiries from internal and external stakeholders.
- File and update procurement department records necessary for compliance to audit requirements, up to date and accessible.
- Perform other tasks, at the request of senior team members to ensure the efficient and effective continuation of QAS operational activities.

Qualifications
About You
- High School Qualification with Minimum 2 years of job-related experience OR Bachelor’s Degree or Equivalent with Minimum 1 years of job-related experience
Essential:
Work experience in either a procurement / supply chain / logistics department- Command of English language – competent communication skills in English language (Speaking, writing, listening and reading)
- Computer knowledge – Excel, word, PowerPoint proficient.
- Organization skills – database administration, tracking orders and accurate record keeping.
- Time management – self-starter, having the ability to work independently with minimal instructions, prioritizing tasks to ensure deadlines are met and verify that orders come in when expected.
- Teamwork – ability to work closely with other departments and external suppliers to solve issues arising.
- Numeracy skills and the ability to present data clearly and accurately
