We are seeking a detail-oriented and proactive Administrative Assistant to join our team. Key Responsibilities:

  • Office Management: Manage the day-to-day operations of the office, including maintaining office supplies, handling mail, and ensuring a clean and organized workspace.
  • Scheduling: Assist with scheduling appointments, meetings, and travel arrangements for team members, ensuring efficient time management.
  • Communication: Serve as the primary point of contact for internal and external communications, including answering phone calls, responding to emails, and greeting visitors.
  • Document Preparation: Prepare, edit, and distribute correspondence, reports, presentations, and other documents as required by management.
  • Data Entry and Record Keeping: Maintain accurate records and databases, including client information, service logs, and other administrative data.
  • Support to Management: Provide administrative support to executives and managers, including preparing meeting agendas, taking minutes, and following up on action items.
  • Customer Service: Assist with customer inquiries, provide information about services, and support the customer service team as needed.
  • Billing and Invoicing: Assist with billing processes, including generating invoices, processing payments, and managing accounts receivable.
  • Event Coordination: Help organize company events, meetings, and training sessions, ensuring all logistics are handled efficiently.
  • Confidentiality: Handle sensitive information with discretion and maintain the confidentiality of company and client data.

Qualifications:

  • High school diploma or equivalent; additional qualifications in office administration or a related field are a plus.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and time management skills with the ability to multitask and prioritize effectively.
  • Excellent verbal and written communication skills.
  • Ability to work independently and as part of a team.
  • Attention to detail and a commitment to accuracy in all tasks.
  • Experience with office equipment (e.g., printers, fax machines) and basic IT troubleshooting is an advantage.

Job Type: Full-time

Pay: AED3,200.00 - AED3,600.00 per month
